Megan Sawtelle is the founder of AK Lean Virtual Assistance, an incredible resource for businesses looking to become more efficient in all ways, including document automation.  She has been automating intake and processes for clients for years, and is up to take on the latest tech tools for your practice.

Tell us a little about yourself.

I founded AK Lean Virtual Assistance, which aims to bring process improvement and project management to administrative support, to help businesses and organizations operate more effectively. I am a Lean Six Sigma Master Black Belt, and a certified lean six sigma trainer through the International Association for Six Sigma Certification (IASSC). I bring a unique holistic perspective to looking at processes, efficiencies, and automation.

What is your document automation experience?

I have been working with Documate for over a year, but have been involved in document automation processes in the government sector for 8 years. Many of the projects I worked on involved onboarding processes (like client intake forms or new hire forms), data collection and management, and data flow between organizations.

Can you describe your process for how you build a document automation workflow?

My process for document automation begins at mapping out the data flow and identifying which document starts the process, and where the information connects to other forms. During these mapping discussions, we can identify where information triggers need to be placed, and what output documents need to happen. Once we have the process mapped out and have identified the information that needs to be collected, we review the forms to make sure they are accurately capturing the information.

What do you think are the most important qualities for a document automation specialist to have when working with a client to automate their templates and forms?

Patience and attention to detail.

Many times people know what they want the outcome to be, but don't understand the process to get there. Being patient with organizations and taking them on a path through understanding information collection, data flow and automation will help to ensure a confident user and capable system.
Attention to detail is critical at every point of the process. During the mapping discussions, missing one piece of information can lead to larger problems further down the automation path. Making sure to capture details, and to ask clarifying questions are essential pieces to a successful project.

What is your proudest moment (professional or otherwise)?

I was a part of a three-person project management team that built and implemented a brand new division in a state government department. My administrative expertise was identified as a critical aspect to the project team, and I was specifically responsible for planning and providing recommendations to building the administrative function of the new division.

What do you do for fun?

I am an avid reader. I firmly believe that education should be continual, and the thirst of knowledge should always remain. In addition to reading, I enjoy gardening during the long Alaskan summer days, and watching the snow fall on the long Alaskan winter nights with a cup of hot cider.
